Adding and Linking Tasks in a Work Order

You can add a task to a work order through either the Diagram topic or the Work Tasks topic on the work order form.

Which topic you use to add the tasks is a matter of preference. The Diagram topic lets you add tasks to the work order diagram and then link the tasks as needed. The Work Tasks topic, while it is not graphical, it lets you enter more information about the task.

To Add a Task to the Work Order from the Work Tasks Topic

  1. Open the work order you want in the Content pane.
  2. Expand the Work Tasks topic.
  3. Click the New link.

    The Work Order Number, Name, Work Order Task, and Description attributes are required.

  4. Enter values for the following attributes of the task as needed.
    Option Description
    Work Order Number This read-only field will already be populated with the parent work order number. To go back to the parent work order, click the Go-to Work Order icon.
    Name This read-only field reflects the parent work order name.
    Work Order Task A unique number or code to identify the task.
    Description A text field used to provide a concise label for the task.
    Instruction This text field typically contains the detailed instructions to be followed when the task is executed.
    Skill Area Optionally, use the list to select an appropriate skill. The skills are predefined in System Admin > Maintain List Values > Skill.
    Note: Persons assigned this skill will be allowed access to this task when the work order is used.
    Person Enter a person’s code or click the Lookup Person (from selected skill) icon to find the appropriate person. Templates normally keep this field blank.
    Plan Start Date The date the task is expected to begin.
    Plan End Date The date the task is expected to be completed.
    Duration The length of time, measured in working days, to execute the task.
    Class The class of the task.
    Note: Typically only the Duration is defined for tasks. The Planned Start Date and Planned End Date are normally inherited from the parent work order when the schedule is calculated for the work order.
  5. Click the Add icon in the action bar.

    The newly created work order task along with available object relationship options displays.

To Add Tasks to the Work Order Graphically, from the Diagram Topic

  1. Expand the Diagram topic.
  2. Click the Actions link and select Add Task.

    The cursor changes from a pointer to a cross.

  3. Click the left mouse button to place one or more tasks in the the Diagram window.

    The properties of the last task placed display in the Navigation pane.

  4. To change the properties of a task, select the task in the Diagram window and make the necessary changes in the Properties pane.
  5. To save the changes, click the Save icon to the right of each property

To Move One or More Tasks Graphically

  1. Open the Diagram topic and click the Expand first 10 rows icon.

    The Diagram topic opens.

  2. To move a task, click inside the task box and drag the task to the new location.
  3. To move two or more tasks, click the Actions link and select the Select menu item.
  4. Press and hold the left mouse button as you define a rectangular region on the screen, making sure to include the necessary tasks. The tasks are outlined in a blue color.
  5. Select the blue outline of one of the tasks, and then drag the tasks to the new location.
  6. To close the Diagram topic, click the Collapse icon.

To Define Task Links or View Tasks Graphically

  1. Open the Diagram topic and click the Expand first 10 rows icon.

    The Diagram topic opens.

  2. Existing work order tasks are displayed in the topic pane along with the work order. By default, the task boxes only display the task Number, Description, Skill/Person, and Planned Due Date. To display additional data, right-click a task and select Properties. Use the Actions link to select additional view and task commands.
    Note: New work order tasks are not linked and therefore do not display arrowed lines linking them together in a chosen sequence.
  3. To link two tasks together, click the Actions link and select Link.

    The cursor changes to a hand when you hover over a task.

  4. Click and hold the left mouse button over the first box and release the button over the next task box. Repeat until all tasks are linked in a logical flow sequence.
  5. To exit the link function, right-click outside of any task.
  6. To close the Diagram topic, click the Collapse icon.

To Remove a Task Link

  1. Click the Actions link and select the Select option.
  2. Click on the link line that is to be deleted.

    Small green boxes will appear along the link.

  3. Press the Delete key on the keyboard.

    A dialog displays asking if you are sure you want to delete the relation.

  4. Click Yes.

    The link will be removed from the Diagram topic pane.

  5. To close the Diagram topic, click the Collapse icon.
